5/5/09	FINAL WALK MEETING 5/5/09 Minutes 1. Refreshment update 2. Registration/Finance team meeting recap Three tables: Pre registered (Ana +2), Walk In (Janesis +2) Gift (Amy +3 by DJ) Three canopies will be provided Karen will bring motor home for finance team and all items donated by NEIS Need two set of tickets and get colors - Pre-registered gifts & Raffles Teams discussed arrangement, procedures: List will be provided of people who pre register by 4/22 and ticket will be given to claim their gift. Once walk starts any unclaimed gifts will be given to those who register after 4/22 and if present by order. Names will be called to come get the price. 3. Signs for Refreshment?? 4. Program will start at 8:45 am. Pre walk: Song, Proclamation, Prayer (done by Cliff) Walk begins (cut ribbon or have kids release balloons) After walk: Song, Dr Speech, Magicians, Raffles (max 10 items) 5. Arch Balloon/ Items from Debbie. 6. Final Pre-walk meeting and set up 5/14 6pm - provide Pizza, drinks??
4/14/09	WALK MEETING 4/14/09 Minutes 1. Refreshment update: No word from Costco yet. Debra will pick up Panera's on 5/15 evening. Martha to ask Shay about having water on Thursday 5/14 so it can go in the cooler with the ice on Friday. We will see if cooler can be dropped off at Grace's house to be put in the truck. Drop off will be about 9pm. Martha to ask Bud if Ice from Deltaco can be picked up at Marks/Sunset location. Martha to discuss with Debbie about Albertson's donations we will need to know by 4/30. 2. Public announcement Grace (not attended) 3. Update on registration We have 60 registered as of last Wed. 4. T-shirt size for volunteers Information is needed by Friday. Debra to get kids shirt sizes also who will be helping with balloon arch. 5. Set up next meeting Finance/registration meeting Team leader and volunteers to meet at 5:30 pm on 4/30 Prep meeting 5/14 evening meeting, mandatory for all team leaders and we will need volunteers also to set up bags and shirts 6. Del Taco helium and Ice donated Extra notes: Program was designed. Martha to ask Dr Raja to be the speaker, Dr Clemons can't attend if not ask Carolin. Final Team Leaders/planning meeting May 5 @ 11:30 NEIS location. Martha to ask Ellen about using tape/calculator machine, paperclips from NEIS for finance team.
3/12/09	WALK PLANNING MEETING 3/12/09 Minutes 11:30 - 12:30 Attendees: Grace Samson, Eugene Samson, Debra Byun, Martha Estrada 1. UPDATES REFRESHMENT Shay McMinn, SLP will be donating water Panera will donate bake goods along with five punch cards for a loaf a bread for a year. Punch cards will be raffle at the event. Costco still has not given us an answer. Starbucks will donate coffee TABLES/CHAIRS Easter Seals will let us borrow their tables and chairs we need to set up a time to when we can drop them off. Eugene to pick them up on Friday 5/15 around 4:30-5 after he picks up the truck rental. Martha to be the responsible person for the chairs and tables. RENTAL TRUCK Eugene will pick it up on Friday 5/15. 2. FORM FROM NATIONAL National sent a form to fill out and completed. Gathered information for Debra and Grace. 3. REGISTRATION ONLINE Per Email received today Registration should open in 48 hours. 4. PUBLIC ANNOUNCEMENT/PROCLAMATION. Louise Sorensen worked on getting Proclamation by Governor for both walk sites. Dawn Gibbons to read it for Carson City. We emailed Mayor Goodman to see if he can read ours. Debra sent email to a TV station to have our event posted on the Community Events. Martha contacted Lauren from 98.5 to see if they can give us air time to talk about AS and our event. 5. SIGNS AND ITEMS FROM LAST WALK Martha to contact Debbie to get items she may have from last years walk. Eugene offered to pick items from Dean's work. 6. DR CLEMONS PRESENTATION Presentation will be on 3/28 10-12 at NEIS. Grace and Martha working on final detail to send out flyers. After this presentation we are to have a walk meeting. Eugene requested families to send updates and new pictures to post on our website. Any new families who are not on the website are encouraged to forward information to get all of our little angels on the site.
